Work orders can transition through different statuses as they progress:
1. "OPEN" : When you initially create a Work Order (WO) to carry out a new job, you'll need to fill out all the required fields and "Save" it. The WO will appear then as "Open"
2. "QUOTED" : Once priced, you will have to assign a quoted date, once you "SAVE" it. It will move to "Quoted"
3. "APPROVED/REJECTED"
Once the work order has been quoted, you can approve or reject it directly from the Quotation tab by enabling the "Admin Quote" button and selecting the corresponding action.
Upon doing so, a field will appear to enter an approval or rejection date. Saving this date will update the work order status accordingly.
Alternatively, instead of manually approving/rejecting, you can send the quote to the client via email using the "Send Quote" option. The client will receive an email with a button to approve and sign the quote.
Once they take action, the system will automatically update the work order status to "Approved" or Rejected".
4. INVOICED/CLOSED
- If the work order is rejected, you can either send the client a revised quote and await approval , or close the order if no further action is needed.
- If approved, you may either invoice it (to proceed with payment), or close it (if no billing is required).
These actions can be performed directly from the work order using the green "Actions" button or via the browser.
Once invoiced or closed, the work order status will update accordingly. At this stage, no further modifications can be made unless the status is reverted.
